The opportunity begins after the Send button
A page can receive inquiries and still lose opportunities. That happens when email lands in a shared inbox, no one owns the response, the customer also writes on WhatsApp and there is no common history. Before selecting a CRM, map what happens from submission through the quote and final response.
Define the information that helps orient the conversation: service, company, country, timing and a short description. Different businesses need different fields. A corporate website inquiry and an operational software request require different routes; visitors should not have to guess your internal structure.
Record once and assign clearly
A useful flow creates a record with date, source, service, status and owner. If the customer writes again, the team should find and continue the previous conversation rather than opening an unconnected case. Notifications help when they say who must act and when; sending the same alert to everyone can recreate the confusion of a shared inbox.
Use stages that reflect real work: new, reviewing, waiting for information, proposal sent and closed. Add a next action and follow-up date. The goal is not to fill columns for their own sake. It is to let an authorized teammate understand what happened and what should happen next.
Connect the site while controlling the data
The integration should validate submissions, reject empty or automated entries and give the visitor a clear confirmation. Review who can see the data, how long it is retained and how a request to correct or delete it is handled. Test forms should not inflate sales reports or mix with actual customers.
If inquiries also arrive by phone or WhatsApp, decide how to record them in the same process. You do not need to automate every channel on day one: consistent manual capture can be better than an incomplete integration. Later phases can add templates, reminders or quote workflows according to volume and team needs.
Measure follow-up quality, not just volume
Start with a few indicators: useful inquiries by service, time to first response, proposals sent and reasons for lost opportunities. Compare equivalent periods and review individual cases before drawing conclusions. More form submissions will not help if nobody responds promptly or the requests do not fit the offer.
Lulab develops websites and custom software. In NovaTrack Portal we centralized operational information that had been scattered across tools. For a sales workflow, we apply the same starting discipline: understand owners, data and decisions before drawing the dashboard. Bring three recent quote requests and follow the journey of each one with us.
