The CRM should help the team sell

If finding a quote means checking three chats, two spreadsheets and a colleague who is on holiday, we have a useful starting point. A CRM brings contacts, conversations, opportunities and tasks together so follow-up does not depend on one person’s memory.

Choosing a custom or subscription CRM begins with how your team works. Identify the process you need, what an existing product covers and which tasks would remain outside it. Follow one request from arrival to a won or closed opportunity.

When subscription CRM fits

A subscription product can fit a familiar sales process built around contacts, opportunities, tasks and follow-up. Products package capabilities into plans and some charge per user. Check the exact plan that supports your automation and access requirements.

Allow time for configuration, import and training. A subscription provides an existing platform maintained by its vendor. Field setup, data quality and team responsibilities still need someone’s attention.

When custom CRM deserves consideration

Custom development becomes worth evaluating when important rules are difficult to cover with an existing product: particular approvals, operational documents, conditional pricing or a handover that currently requires copying information into another tool.

Different journeys and permissions for customers, salespeople and supervisors may also matter. Define them precisely and check whether configuration can solve them. If important steps repeatedly end in another spreadsheet or manual workaround, there is a concrete gap to examine.

Compare the same work

Evaluate both options against one workflow: receive a request, assign an owner, prepare a proposal, approve it, schedule follow-up and review history. Mark what is included, what needs configuration and what requires additional development.

Review duplicates, documents, reports, permissions and connections to your website or operations system. Check whether customers, opportunities, notes and files can be exported in a usable format before you urgently need to move them.

Add up two years of ownership

For a subscription, include setup, migration, training, 24 months of licences for all users, add-ons and contracted support. Use the plan that includes your required features and check its billing period.

For custom CRM, include discovery, development, migration, training, hosting, maintenance and external services over the same period. Custom software also needs ongoing care and a clear owner. Consider the manual work left outside each option alongside its price.

Test something that resembles an ordinary Tuesday

Choose a detailed workflow and remove sensitive data before sharing it. Request a complete walkthrough: create an opportunity, assign it, attach a document, prepare a quote, schedule a task and check status under another role. Include a correction or duplicate request.

For custom development, use the same workflow to review the design and agree acceptance tests before building. Involve daily users. A polished demonstration helps; completing work without opening four tools helps even more.

Connect the website with follow-up

Define what happens after form submission: which information is stored, who owns the request, how a returning contact is recognized and when a response is due. Keep the requested service and inquiry source with the record.

If a sale becomes an operational job, define that handover too. Nova Track Portal in our portfolio shows the kind of work we do to centralize information and processes. Understanding the business extends beyond the contact form.

Making the decision with Lulab

Bring your sales workflow, user count and the steps that require copying information or asking someone else for help. We can review whether to configure an existing product, connect your current tools or develop custom software.

The choice becomes clearer when you can identify what each option solves, its ongoing cost and who will maintain it. Finding the next task should not require an archaeological expedition through WhatsApp.
